How to prepare documents: a guide to enrolling abroad with an ease of mind

Studying abroad is not just about lectures or a diploma. It’s about new experiences, new people, and a new way of thinking. What you learn in Canada or Europe, you can later bring back here and do something cool at home. Every year, more and more Ukrainian students choose foreign schools and universities. In 2025, the largest number of applications will go to Poland, Germany, Lithuania, Canada, the Czech Republic, and the USA. And it’s not surprising — the quality of education, prospects, and the opportunity to try yourself in the world so different from yours.
But making a decision to study abroad and choosing an institution isn’t nearly enough. The introduction requires steady preparation. Translation and apostille for documents is a significant part of it. We have identified key steps that will help you go through this process neatly, and most importantly, quickly and efficiently.
Start with the main thing: what documents will you need?
Most foreign educational institutions require a fairly standard list:
- education documents (certificate, diploma with supplements);
- international passport (valid for at least 6 months from the start of studies);
- language certificates such as TOEFL, IELTS, etc.;
- motivation letter (in the language of the country of study or in English);
- resume / CV (for admission to a master’s or postgraduate program).
- letters of recommendation.
Be sure to check the requirements of the university you have chosen. There are specific requests for individual programs, and committees ask for additional certificates. The easiest way is to make a checklist and mark off the documents you have already prepared. But note that it may differ slightly from country to country.
Checklist of documents for the EU:
- certificate,
- language proficiency certificates,
- standard entrance tests,
- letters of recommendation,
- motivation letter,
- copies of passport and student visa,
- other documents.
Checklist of documents for the USA:
- certificate;
- English language exam results;
- standard entrance tests;
- letters of recommendation;
- motivation letter;
- copies of passport and student visa;
- other documents.
Document checklist for Canada:
- transcripts,
- certificate,
- English exam results,
- standard entrance tests,
- letters of recommendation;
- motivation letters;
- copies of passport and student visa;
- other documents.
Make a translation and have it properly confirmed
All documents must be translated into the official language of the country you are entering. But it’s not enough to just translate a diploma; the documents must either be notarized or have the seal of a licensed translation agency. Already done? Next, pay attention to an important detail.
What is an apostille, and why is it needed?
An apostille is a stamp, but an unusual one. It confirms the validity of the content of the document, the signatures of individuals, and the legitimacy of seals. Why do you need to apostille documents? So that they can be used abroad, where they don’t know the Ukrainian language and don’t have access to state registers to verify the authenticity of the diploma.
Apostille or legalization
Your documents may additionally require an apostille or legalization. An apostille is required when entering higher education institutions in countries that are parties to The Hague Convention, such as Germany or the Czech Republic. In other countries that have not signed The Hague Convention, consular legalization may be required. These countries include the USA, so be careful.
Follow deadlines and get support
Bureaucracy doesn’t wait. Each country and each university has its own application deadlines. If you delay, you could miss an entire year. To avoid running around looking for translations on the last night before the deadline, we recommend starting the process at least 3–6 months beforehand. If you’re out of time, contact professionals who guarantee fast and accurate translation, apostille, and online diploma translation.
Rather than drawing any conclusions
We hope you have figured out why you need an apostille and how to properly prepare documents for admission. Details can play a decisive role in admission to the university of your choice, but with proper preparation, the admissions committee will not become an obstacle to your chosen course. The main thing is to act clearly according to the recommendations of specialists and not be afraid to seek help from MK:translations.
